The brief

A Nasdaq-listed enterprise software company, headquartered in the Greater Boston area, selected Judge Business School as the host venue for a residential executive leadership programme, bringing thirty-two senior leaders to Cambridge from multiple international origins.

The brief was uncompromising: faultless ground mobility across a six-day window, arrivals and departures across two London airports, and a delegate experience consistent with the seniority of the cohort and the standing of the host institution. Primacy Cars was appointed to design and deliver the full ground operation.

Planning: Primacy OS Events at work

The operation began on the Primacy OS Events platform. The client supplied a single manifest — names, contact numbers, flight numbers, airports, arrival and departure times, accommodation details — as a spreadsheet. The Primacy OS AI wizard parsed it, grouped passengers automatically by date, time and flight, and proposed a draft schedule.

Our operations team reviewed the output, made manual refinements, and triggered the Intelligent Pricing Engine to generate a costed itinerary. The platform produced a clean, ordered confirmation schedule and sent it directly to the organisers for sign-off; revisions were handled inside the same workflow, and on approval the platform generated booking cards ready for dispatch. What would traditionally take a small team several days of back-and-forth was compressed into a single coordinated cycle.

The delegate experience

Twenty-four hours before each journey, delegates received a digital pass containing full journey details, their chauffeur’s photograph and credentials, and direct communication channels. At the client’s request, the same passes were mirrored to the organisers, giving them complete visibility with no additional administrative load.

Every vehicle was stocked with Voss still and sparkling water, and chauffeurs were briefed on the seniority of the cohort and the tone of the programme.

Live operations

Every booking was dispatched through Primacy OS. Operations monitored arrivals live using the platform’s Intelligent Flight Tracking, with chauffeurs receiving the same data on their PWA. Throughout the six days, the entire operation was overseen in real time from Primacy OS Command — the director-level mobile control surface, run from a Samsung Galaxy Z Fold, that allows reassignments and live coordination from anywhere on the ground. Gate changes, early landings, delays and schedule shifts were issued through Command and reflected on chauffeur devices in real time.

Handling the unexpected

On day three of arrivals, an additional guest arrived at London Stansted who had not appeared on any scheduled run — a booking omitted from the original manifest that should have been a day-two arrival. Within minutes of the situation surfacing, our operations team established a three-way line between the organiser, the guest and a chauffeur already routed near Stansted, redirected the vehicle, briefed the chauffeur and confirmed the recovery with the organiser.

The guest was met airside on time, with no awareness on her part that anything had been amiss. The organisers later cited the recovery as the moment they realised they had the right partner on the ground. Several other last-minute changes — schedule shifts, vehicle requests, an ad-hoc luggage transfer from the Hilton Cambridge to Judge Business School — were absorbed without disruption to the wider operation.

Eighteen arrivals and twenty-one departures were coordinated across two London airports — Stansted and Heathrow — alongside two local trips and a dedicated luggage movement. One unscheduled airport arrival was fully recovered within the same operational window. On departure day, vehicle arrivals were sequenced in close coordination with the venue concierge to match delegate readiness rather than the timetable. The organisers commended the operation for its near-frictionless delivery and for the discretion and professionalism of the driving team.

Why it worked

Three factors carried the operation. First, Primacy OS handled the structural complexity — manifest parsing, pricing, dispatch, live tracking, delegate communications and real-time command — leaving the human team free for judgement, not data entry. Second, the fleet was matched to the cohort: executive saloons including the Audi A8 for principals, the Mercedes V-Class for group movements, and Teslas where requested. Third, the team treated the unexpected as part of the brief, not an exception to it.
